Getting started

Go to groupease.com and click "Get started free". Enter the phone number linked to your WhatsApp account. You will receive a one-time verification code via WhatsApp. Enter the code to access your dashboard — no password needed.

From your admin dashboard, click "Add a Group". Then on your phone, open WhatsApp, go to your group, tap the group name at the top, scroll down and tap "Invite to group via link", then copy the link. Paste that link into GroupEase and your members will be detected automatically within seconds.

No. Members are registered automatically when you add your group. They receive a welcome message in the WhatsApp group and can optionally sign in at groupease.com using their phone number to view their dues, payment history, and polls. No app download is required.

GroupEase detects new members automatically via the WhatsApp Business API and adds them to your group on the platform instantly. You do not need to do anything.

Their GroupEase profile is marked as inactive. All their payment history and records are preserved. You can view inactive members from your dashboard under "Members → Inactive". You can reactivate or permanently remove them from there.

Dues & payments

From your dashboard, go to "Dues & Contributions" and click "Create Dues". Set the amount, frequency (weekly, monthly, quarterly, or annually), and the due date. GroupEase will automatically send WhatsApp reminders to all active members before and on the due date.

Members receive a WhatsApp message with a payment link. Clicking the link opens a secure payment page powered by Flutterwave or Paystack. They can pay by card, bank transfer, USSD, or mobile money. Payment is confirmed automatically and a receipt is sent via WhatsApp.

Yes. Go to "Reports" in your dashboard. You will see a real-time table of all members showing their payment status for each dues period. You can filter by paid, outstanding, or partially paid. Premium subscribers can export this report as a PDF or Excel file.

Card and mobile money payments reflect instantly. Bank transfers may take a few minutes depending on your bank. If a payment does not reflect within 1 hour, contact payments@groupease.com with your transaction reference number.

Fines & levies

Go to "Fines & Levies" in your dashboard and click "Issue Fine". Select the member, enter the amount and reason, and click "Send". The member will receive an instant WhatsApp notification with a payment link.

Yes. In your dues settings, you can enable automatic late payment fines. Set a grace period (e.g. 3 days after the due date) and a fine amount. GroupEase will automatically issue fines to members who miss the deadline without payment.

Go to "Fines & Levies", find the fine, and click "Cancel Fine". This removes it from the member's outstanding balance. If the member has already paid, you will need to arrange a manual refund directly — GroupEase cannot reverse completed payments.

Polls & voting

Go to "Polls & Voting" and click "New Poll". Enter your question and up to 6 answer options. Set a closing date and time. Click "Publish" — the poll will be announced in the WhatsApp group immediately.

Members can vote by replying to the WhatsApp message, or by signing in at groupease.com and voting from their dashboard. Both methods count in the same real-time results.

By default, poll results show vote counts only (anonymous). If you need to see individual votes, enable "Named voting" when creating the poll. Members will be informed that their vote is not anonymous.

Account & billing

Go to "Settings → Subscription" in your admin dashboard and click "Upgrade to Premium". Choose your plan based on your group size and complete payment. Your Premium features will be activated immediately.

Yes, with a Premium subscription. From your dashboard, click "Add Another Group" to register additional WhatsApp groups. Each group is managed separately with its own dues, members, and reports.

Go to "Settings → Subscription" and click "Cancel Subscription". Your access will continue until the end of your current billing period. We do not offer refunds for unused subscription time, but your data will remain accessible until the period ends.

After cancellation, your account enters a 90-day grace period during which you can still access and export your data. After 90 days, all group data is permanently deleted. Payment records are retained for 7 years for legal purposes. You can export your data at any time before deletion.

Troubleshooting

Check the following:

  • Confirm the member's phone number in your dashboard matches their WhatsApp number exactly, including the country code.
  • Ask the member to check if they have blocked the GroupEase Business number.
  • Check "Message Logs" in your dashboard to see if messages were sent successfully.
  • If the issue persists, contact support@groupease.com with the member's phone number and the date of the last failed message.

Ask the member for their payment receipt or transaction reference number. Go to "Payments → Search" and enter the reference number. If the payment is not found, email payments@groupease.com with the reference number, amount, date, and member name. We will investigate within 24 hours.

WhatsApp invite links expire after a period of inactivity. Generate a new invite link from your WhatsApp group (group settings → invite link → reset link) and paste the new link into GroupEase. Your existing member list will not be affected — only new members from the new link will be added.
