GroupEase collects only what's needed to run your group — phone numbers, payment records, and group activity. We never sell your data, never read your WhatsApp messages, and never share your information except to process payments or send notifications on your behalf.
1. Who we are
GroupEase operates the GroupEase platform at groupease.com and via our mobile application. We provide WhatsApp-integrated community management services for savings groups, associations, clubs, and social organisations.

2. Information we collect
Provided directly by you
- Phone number — your primary identity on the platform, must match your WhatsApp account.
- Name and profile details — optionally added by you or your group admin.
- Payment information — card details are never stored by GroupEase. All payments go directly to Flutterwave or Paystack, who are PCI-DSS compliant. We store only payment status, amount, date, and reference number.
- Group configuration — dues amounts, fine rules, poll questions, and settings created by admins.
Collected automatically
- WhatsApp group member phone numbers — extracted once from a group invite link pasted by the admin. The link is discarded immediately. GroupEase never joins the group or reads messages.
- Payment transaction records — automatically recorded when a payment is made or a gateway webhook is received.
- Device and usage data — browser type, IP address, and basic usage logs for security and performance.
- Webhook events — when a member joins or leaves a registered WhatsApp group, we receive only the phone number and event type from the WhatsApp Business API.
What we never collect
- WhatsApp group messages or conversation history — ever.
- Contacts from your phone beyond the invite link extraction.
- Full card details, bank account numbers, or PINs.
- Biometric data, government ID numbers, or sensitive personal identifiers.
3. How we use your information
We use information strictly to provide and improve GroupEase:
- To create and manage your GroupEase account and group profile.
- To send WhatsApp reminders, payment links, poll notifications, and receipts on behalf of your admin.
- To process and record payments through Flutterwave or Paystack.
- To detect new or departing group members and keep membership in sync.
- To generate financial reports and analytics for group admins.
- To provide customer support when you contact us.
- To maintain platform security and prevent fraud or abuse.
- To comply with applicable laws and regulations.
We do not use your information for advertising, profiling, or any purpose unrelated to the GroupEase service.
4. Auto-registration and your rights
If you are a member of a WhatsApp group registered on GroupEase by an admin, a profile has been created for you automatically using your phone number. You did not need to sign up for this to happen.
You have the following rights regarding your profile:
- Right to access — request a copy of the data we hold about you.
- Right to correction — correct inaccurate information in your profile.
- Right to deletion — request deletion of your profile. Payment records may be retained for legal and accounting purposes.
- Right to object — object to your profile being used for any specific purpose.
- Right to portability — request an export of your data in a structured, readable format.
To exercise any right, contact your group admin or email privacy@groupease.com. We respond within 14 days.
6. Data retention
- Active account data is retained for as long as your group subscription is active.
- Payment records are retained for a minimum of 7 years for legal and accounting compliance.
- Inactive member profiles are retained until the admin removes them or the subscription ends.
- Upon account deletion, personal data is removed within 30 days, except where retention is required by law.
7. Data security
- All data is transmitted over HTTPS/TLS encryption.
- Databases are hosted on Amazon RDS with encryption at rest.
- Access to production systems is restricted to authorised personnel only.
- Payment data never touches our servers — it goes directly to Flutterwave or Paystack.
No system is completely secure. If you believe your account has been compromised, contact us immediately at security@groupease.com
9. Children's privacy
GroupEase is not intended for use by persons under 18. We do not knowingly collect personal information from minors. If you believe a minor's information has been collected, contact us at privacy@groupease.com and we will delete it promptly.
10. International data transfers
GroupEase is operated on Amazon Web Services servers. Your data may be processed in regions outside your country of residence. Where this occurs, we ensure appropriate safeguards are in place, including data processing agreements that meet applicable legal standards.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify group admins via the platform dashboard and send a WhatsApp notification to registered groups. The updated policy will always be available at groupease.com/privacy. Continued use of GroupEase after the effective date constitutes acceptance.
